2. What is personal information?

We do not generally require sensitive or highly confidential information through the Website. Please do not submit health information, identity-document numbers, government-related identifiers, payment-card details, banking credentials, passwords or similar information through an inquiry form unless we have specifically requested it and provided an appropriate means for you to do so.

6. Website forms and HubSpot
The Website contact form is operated using Gravity Forms. Form entries and uploaded files are stored within the Website’s WordPress hosting environment. Unique links to uploaded files are transmitted to HubSpot and included in relevant notification emails; the uploaded files themselves are not copied into HubSpot or attached to those emails. We use HubSpot to manage inquiries, client relationships, quotations and marketing preferences.
Our website hosting, maintenance, form and technology providers may process or have access to personal information where reasonably necessary to provide their services, maintain the Website or resolve technical issues.
Please do not submit information or files that are not reasonably necessary for us to understand and respond to your inquiry.
7. Cookies, analytics and advertising technologies
The Website uses cookies, pixels, tags, local storage and similar technologies. These include technologies used in connection with Website functionality and security, HubSpot tracking, Google Analytics, Google Ads conversion tracking and remarketing, Vimeo embeds and Google reCAPTCHA version 3.

10. Overseas access and disclosure
3D Imagined operates from Australia and works with international clients, contractors and technology providers. Personal information may therefore be disclosed to, accessed by, stored with or processed by recipients outside Australia.
Known overseas locations currently include the United States, South Africa and India. Freelance rendering artists may also access relevant client and project information from countries across Asia, Europe, South America and Central Asia. Because artists are engaged on a project-by-project basis and the contractor roster changes, it may not be practicable to identify every country in advance.
Where required by applicable law, we take reasonable steps to ensure that overseas recipients handle personal information appropriately. Privacy laws and enforcement arrangements in another country may differ from those in Australia.
11. Security
We take reasonable administrative, technical and organizational steps designed to protect personal information from misuse, interference, loss, unauthorized access, modification and disclosure. Depending on the circumstances, these steps may include access controls, password protection, firewall protections, malware scanning, vendor management, confidentiality obligations, staff and contractor restrictions, backups and security monitoring.
No method of online transmission or storage is completely secure. We cannot guarantee absolute security. We will assess and respond to suspected data incidents and make any notifications required under applicable law.
12. Retention and deletion
Form entries and uploaded files stored within the Website’s WordPress hosting environment are configured to be automatically and permanently deleted 180 days after submission.
Contact, inquiry, quotation and relationship records recorded in HubSpot or another business system may be retained for longer where reasonably necessary to manage inquiries, client and business relationships, marketing preferences, legal and regulatory obligations, complaints, disputes and the enforcement of agreements. We may retain limited information necessary to record and respect an unsubscribe or opt-out request.
The retention period for other personal information depends on the nature of the information and the reason it is held. When personal information is no longer reasonably required for a permitted purpose, we will take reasonable steps to delete or de-identify it, except where we are required or permitted by law to retain it.
13. Access, correction and other privacy rights
You may contact us to request access to personal information we hold about you or to ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding.
